Booking Terms and Conditions
 
These general conditions are only applicable for bookings and reservation contracts made with active intermediation of Villapolis.

In these general conditions the following definitions are used:
  • Service Provider: Is a professional broker or private person that manages 1 or more furnished holiday accommodations that are rented.
  • Traveller: a visitor of the Villapolis web site (directly or indirectly via a partner web site) who engages into a contract for a holiday accommodation.
  • Villapolis or Villapolis Reservation Desk: The booking centre of Villapolis acting as intermediary.
Reservation
The booking of a holiday accommodation by phone, email, fax or letter is a legal contract. The specifications mentioned in the (online) brochure and the general conditions are part of this rental contract. The traveller acknowledges to have taken cognisance of the contract on committing to the rental contract and accepts all conditions mentioned. The payment is considered to be an acknowledgement of the acceptance of these general conditions.

A reservation is only considered final after the total advance, to be paid by the Traveller, has been received within the specified time frame. After paying the advance the Traveller will receive all necessary documents directly from the Service Provider.

All information available in the (online) brochure is provided by the Service Provider and made available only after his explicit consent. The Service Provider agrees hereby to provide correct and truthful information.

The Villapolis Reservation Desk acts as an intermediary between the Service Provider and the Traveller. Rentals contracts are closed between the Service Provider and the Traveller. After an initial mediation of Villapolis, the Service Provider provides the Traveller the necessary rental documents and contract.

Some holiday accommodations are not managed and rented exclusively by Villapolis as a result of which the availability cannot always be guaranteed. For these accommodations it is possible that after the payment of the advance the accommodation is nevertheless not available anymore. In those rare cases the traveller may cancel the reservation without any costs and the advance will be refunded. Villapolis is under no circumstances obliged to pay an indemnity if this situation arises.
Payment
Reservations made via the Villapolis Reservation Desk: On making a reservation the Traveller receives a reservation ticket stating all necessary information to finalize the reservation:

  • the accommodation that is the subject of the reservation
  • the Travellers identity and contact information
  • the period that the accommodation is rented
  • the total rental rate for the specified period
  • the advance to be paid to confirm the reservation. The advance is paid into a Villapolis bank account. If the time to arriving at the accommodation is less than 6 weeks, then the whole amount is to be paid immediately to confirm the reservation.
  • the balance to be paid before arriving at the accommodation into a bank account of the Service Provider. When the balance is due is mentioned in the rental contract but generally this is 4 – 6 weeks before arriving at the accommodation.
  • information regarding the security deposit (amount and when to pay)
  • an overview of additional costs to be paid on the spot (fixed or on consumption). This information is available in the accommodation description (online).
  • the cancellation conditions. This information is available in the accommodation description (online).
Reservation Costs
Villapolis may charge reservation costs for certain holiday accommodations.
Tourist Tax, Cleaning Costs, Security Deposit, Energy Costs
Any additional costs are mentioned in the (online) brochure or general conditions and are to be paid directly to the Service Provider or his local representative.
Responsibility
  • Booking via Villapolis Reservation Desk: The Villapolis Reservation Desk acts as an intermediary between the traveller and the Service Provider. The rental contract is considered to be closed between the Traveller and the Service Provider. Both the Traveller and Service Provider are mentioned on the contract as well as the provided service and the rental rate.
  • Villapolis is not responsible if the Service Provider provided incorrect information. Villapolis is only responsible for the correct presentation of the information and prices provided by the Service Provider or his representative.
Villapolis cannot be held accountable in case of unexpected events, acts of God or actions of a third person unrelated to Villapolis.
Cancellation/Dissolution
In case of cancellation by the Traveller he is required to inform Villapolis and the Service Provider by registered writing or email (with read receipt).

Unless otherwise stated on the rental contract received from the Service Provider, the following costs are charged:
  • Cancellation between the moment of reservation and 43 days (6 weeks) before arrival at the accommodation: 30% of the total rental rate;
  • Cancellation between 42 days and 15 days (2 weeks) before arrival at the accommodation: 50% of the total rental rate;
  • Cancellation between 14 days and 8 days (1 week) before arrival at the accommodation: 75% of the total rental rate;
  • Cancellation as of 7 days (1 week) before arrival at the accommodation: 100% of the total rental rate;
Complaints
In case of complaints the Traveller should directly address the Service Provider or his local representative. If they are not available the Traveller should address his complaint by registered writing to Villapolis bvba within 5 working days.

Villapolis does not mediate or arbitrate in case of a dispute regarding the settlement of any amounts that should be paid locally to the Service Provider.
Insurance
Villapolis advises the Traveller to take out cancellation insurance.
Villapolis advises the Traveller to verify that he is covered by fire insurance.
Villapolis advises the Traveller to verify that he is covered by an insurance civil liability.
Disputes & Jurisdiction
Any possible disputes will only be brought to the court of Leuven (Belgium).
 
 
Villapolis offers holiday rentals in more than 20 countries in Europe and beyond. Villapolis intermediates for the majority of the holiday houses offered on this website. All other houses, can be rented directly from the owner or manager of the holiday rental.
